CLIENT

BGŻ BNP Paribas is one of the largest banks in Poland, and a part of BNP Paribas – one of the largest banking groups in the euro area.

NEEDS OF THE LEGAL DIVISION

Tens of specialists, hundreds of cases every week, thousands of documents, ongoing assistance to a network of nearly 500 branches – the legal division of a large corporation cannot function properly without the right solutions. BGŻ BNP Paribas was in urgent need of a solution which would replace a number of separate tools supporting the work of the company’s lawyers. One which would respond to the real needs and mirror the business rules of the Bank. Pre-existing systems targeted at law firms were not well suited to the distinct nature of work of legal divisions in large organisations – their modification would only be a half-measure.

As a result, the Bank decided to invest in a tailored solution. The Client’s goal was clear – a solution which will replace all previously used tools, automate the work of the legal division, streamline the management of the division through the use of reporting tools, and allow for a flexible determination of processes.

DIFFICULT TEST

Designing a dedicated solution is never an easy task – it requires developing a good understanding of the client’s business. Its realisation is an even bigger challenge if the business in question is undergoing significant changes at the time of the project. It is this kind of environment that Pentacomp was faced with at the outset. As a result of the planned merger of BGŻ BNP Paribas and the core business of Raiffeisen Bank Poland, the legal team’s size doubled. The new solution supporting its work had to be able to cope with a much higher number of cases than before. Consequently, many of the Bank’s requirements were still at an early stage. Managing the development of the solution in a way that would allow us to stay flexible with respect to changes in the client’s expectations, while adhering to the schedule, was one of the biggest challenges.

How to pass such a test?

The Agile methodology, as well as running the project in symbiosis with the client, once again turned out to be the key to success. Thanks to continuous revisions of the client’s needs and the iterative approach, that is improving the solution components incrementally, active prototypes were created already at the analysis stage. As a result, users were able to imagine what the finished elements would look like and make changes on an ongoing basis.

BGŻ BNP Paribas received a solution perfectly tailored to its needs. It supports exactly those areas that the legal division is responsible for:

  • issuing opinions on contracts,
  • handling administrative proceedings that the organisation takes part in,
  • handling lawsuits which the organisation is a party to,
  • gathering and distribution of legal knowledge.

The solution supports teamwork, ensures convenient access to information and documents, and provides an adjustable system of access permissions. It also meets one of the key needs of every large legal team. Through a control tool for the time and costs of case management, the company is able to monitor work effectiveness, while the employees can easily register their hours worked.
